The US Geological Survey is seeking hotel facilities for a 4-day conference of approximately 350 individuals at the following locations: metro Philadelphia, PA, metro Baltimore, MD, metro Charlottesville, VA, metro Williamsburg, VA, metro Washington, DC, and Northern Virginia to include the counties of Fairfax, Arlington, and Loudon. Conference dates must be either the week of May 22, 2006 or June 5, 2006. No other dates will be considered. The facility must accommodate approximately 350 guests for 4 nights. Arrival/departure pattern can be Monday-Friday (preferred) or Sunday-Thursday. Rooms shall be single occupancy and be within Government per diem rate. Use of an adjacent hotel to accommodate overflow guest rooms is acceptable; however the proposal must have the concurrence of availability at the overflow hotel. The hotel must be capable of providing meals and other restaurant facilities on the premises. Three luncheons and one dinner with speakers need to be accommodated. The hotel must provide 1 large meeting room that accommodates 350 individuals in plenary session, classroom style and a minimum of 6 additional, concurrent break out rooms, also classroom style, that accommodate 30-70 individuals. All meeting rooms must be capable of being equipped with various audio/visual equipment.
