This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued.

a. The requirement consist of providing lodging, meals and conference facilities and equipment support to include all personnel, equipment, supplies, facilities, tools, materials, supervision, and other items and non-personal services necessary. Period of Performance, 4-10 March 2012. Place of performance recommended to be within a quarter of a mile of the River Walk, San Antonio, TX.

b. The facility shall have a modern professional system of internal and external security. The facility shall heighten security posture starting the morning before the conference and continuing until the evening of the day after the conference. If external security augmentation is used, the facility security manager shall ensure complete and unlimited access and seamless coordination between its organic security systems and the external augmentation units.

c. The contractor shall provide lodging, meals, conference facilities and other services in support of an Army South (ARSOUTH) conference. The attendees will begin to arrive on 4 March 2012, attend the conference, and depart the day after the conclusion of the conference on 10 March 2012. Total conference attendees will be approximately 45. The Government will pay for the lodging for 35 participants. The other individuals will make reservations and pay on an individual basis.

d. Room requirement: 4 Mar - 35 rooms, 5 Mar - 35 rooms, 6 Mar - 35 rooms, 7 Mar - 35 rooms, 8 Mar - 35 rooms, and 9 Mar - 35 rooms. Any other rooms, suites, and services are the responsibility of participants arranging them and the government will not be held liable.

e. Buffet breakfast shall be available in accordance with the following schedule: 5-10 March from 6:00 a.m. until 8:00 a.m. Breakfast will consist, at a minimum, of main entrees, side dishes, and nonalcoholic beverage such as water, juice, tea and coffee.

f. The Contractor shall provide an on-site facility for the Government to host a three (3) hour Social Event for approximately 75 persons. Actual number of attendees will be provided to the Contractor 48 hours prior to event. The social event shall be located in a private area. The government will provide the Contractor a by-name list of participants to be paid for under the contract. The Contractor will also provide soft music for the social event.

g. The social event will take place in the late afternoon or evening on Monday, 5 March 2012. Exact times will be determined between Contractor and Government. The three (3) hour duration of the event does not include time for setup.

h. Contract Award Procedure:
The proposed services will be obtained by Firm-Fixed Price Contract. To be eligible for contract award, a firm must be registered in the Central Contractor Registration (CCR). Register via the CCR Internet site at http://www.ccr.gov.
