Provide UAMS Software to the City of Sacramento. B. The following is required for final City acceptance of the selected product: • UAMS software is installed on City (virtual) or Vendor hosted server. • A minimum of 10 City workstations have simultaneously shown to connect to, and utilize successfully, the UAMS from throughout the City. • UAMS software is shown to successfully download, convert, and import electronic bills from selected locations on City network drives. • Data downloaded and imported into the software is successfully used to generate five (5) energy use reports of the City’s choosing. • UAMS must be web-based capable. • UAMS successfully identifies duplicate bills, missing bills, missing accounts, or any data gaps from SMUD electronic historical data provided. • UAMS must be able to migrate all of the City’s historical data currently stored in the City’s EnergyCAP UAMS into its own system as far back as 10 years, minimum. • The training process shall include the following features: o City users are trained at developing a report from Appendix H in UAMS from scratch. o City users are trained at developing a chart from Appendix H in UAMS from scratch. o City users are trained at developing and posting a web page from Appendix H from scratch to the City’s intranet. o City users are trained to print out a minimum of five (5) different reports containing accurate output. o City users are trained to print out a minimum of five (5) different graphs containing accurate output. o City users are trained at e-mailing a monthly departmental budget report to a City budget Manager. C. Training Services on Software: The City shall to be trained on the set-up, maintenance and the operations of the purchased product. In the proposal, please include a minimum of four (4), six-hour on-site training sessions at time of start-up, and two (2), six-hour on-site training sessions, six months after acceptance, 36 hours total. All training dates and times to be determined by the City’s availability. D. Warranty, Maintenance Contract, and Software Licenses: The proposal shall include software maintenance, software upgrades, telephone technical support, and possibly limited access for consultant to connect to UAMS software server by virtual private network (VPN) through coordination with City IT staff as part of the Warranty services. The Warranty, Maintenance Contract, and Software License shall remain in effect for a period of five (5) years after contract signature. E. The proposed UAMS must be capable of successfully processing utility bills delivered in the format as shown in Appendix G. F. The UAMS must be capable of producing reports and graphs similar to those detailed in Appendix H. The City of Sacramento currently pays approximately 1,500 electricity bills to the Sacramento Municipal Utility District (SMUD) and 140 gas and electricity bills to Pacific Gas and Electric Company (PG&E) each month. Currently, the City processes SMUD bills via electronic receipt to the Central Information Technology office. PG&E bills are received via spreadsheet directly from PG&E. These spreadsheets require significant manipulation before they can be imported to the UAMS. Currently SMUD bills the City in daily increments. The City receives bills each day for a batch of facilities until all are billed within a 30 day period. However, it is expected that SMUD will begin a program in the near future to deliver all of the City’s electric bills in a single transmission. The UAMS must be capable of processing and importing bills using either method.
