Office of Alumni Relations Homecoming Tailgate FIU’s Office of Alumni Relations is seeking a vendor to provide turnkey services for their Homecoming Tailgate taking place at FIU’s MMC campus during the 2023 Football Season. The date of the Homecoming Tailgate is September 23, 2023. The event time runs from 4:30 to 6:30 pm, with the set-up taking place earlier between 8 am and 12 pm. The tailgate, or pre-game reception, will take place on FIU’s MMC Campus in the Parkview Residential Multipurpose Room, with an expanded outside courtyard area, half covered and half open with lawn and sidewalk space. The turnkey services that are being sought include: Catering Package: • Food for 450 to 600 guests (final numbers to be confirmed based on vendor’s requirement before event) • Complete buffet setup including all serving pieces, chafing dishes and premium plasticware. • Food stations with interactive food options such as a Pizza/ Flatbread stations, nitrogen ice cream bar, a grazing table, and a stir fry bar. • Professional service staff to provide culinary and floor service as well as licensed bartenders and security staff. • Beverages for 450 to 600 guests, including ice, premium plasticware and beverage stations. Beverages are defined by two drinks per person, this can be mixed liquor drinks, beer, wine, soda, or water. Guests will be given 2 drinks tickets and after that they can pay cash to vendor for additional drinks (same beverage menu previously stated). Furniture package should include the following items: • Enclosure and Patio Space Built with White Pickett Fencing and weights. • (2) Club Lounges - Each to Include: o 10’ x 20’ Tent with Curtains (4) Bistro Seating Tables (24) Chairs (2) Umbrellas o (2) Tall Cocktails, Fencing, (1) Leather Couch (2) Club Chairs and Signage • 12’ X 24’ Stage on 2ft Legs with Skirting, (2) Stairs • (8) 48” Tables & (3) 36” with Appropriate Linen • (112) White Padded Chairs and or pallet furniture seating (items can be substituted for other comparable items • (10) 6ft Vendor Tables with Appropriate Fitted Linen • (7) Market Umbrellas • (16) Tall Cocktail Tables with Appropriate Linen and Centerpiece • (15) Tall 8ft Socializing Tables • White Leather Lounge Furniture – 2 Vignettes • (10) Tall Industrial Pedestal Fans • (2) 10 x 20 Tents with Curtains - Registration • Generation – EU 7000 for Inflatable in Front ** All tents must be permitted Entertainment: • (2) Cornhole Games and (2) Giant Size Jenga • Giant Size Pong • Interactive DJ • Jumbo Touchdown Goal Post inflatable Décor and Theme: A full theme décor package included with a pricing structure, photos of each item and of previous events. • College football theme – FIU colors blue and gold • Football theme centerpieces • FIU branded banners • FIU branded signage for each area (Welcome, Registration, Check-in, Lounge, Restroom, Exit) • Blue and gold balloons (Football balloon garland, balloon columns, balloon bursts) • FIU football theme backdrop for photos Vendor should provide pricing per: 500 guests and 600 guests.
