This Request for Information (RFI) is being issued by the Defense Health Agency (DHA) Contracting Operations Division - San Antontio (COD-SA).  The intent of this RFI is to research the marketplace for interested and qualified vendors. 

The intent of this RFI is to conduct Market Research in accordance with FAR 10.002.It is for informational purposes only.  This RFI shall not be construed as a formal solicatation or an obligation on the part of the government to acquire any supply or service.  It does not guarantee a solicitation will be issued.  Costs associated with any submission shall not be reimursed by the government.  If your company is interested in providing information about its capabilities and experience in managing VTC systems for government entities to [email protected]. Please include the name, phone number, and email address of a company representative that the Government may or may not contact for additional information.

Responses will be accepted until the solicitation is issued.  Information gained through this RFI will be used to determine the available of contractors to perform these services.  All feedback and information received may be used to determine an appropriate acquisition strategy for possible future acquisitions.  A solicitation has not been developed at this time.  Please note that individual capability briefs will not be accepted. 

The government requires VTC conference room scheduling, software upgrates for IAVA compliance to codecs (requires elevated network access (IAT Level II cert), touch labor (break/fix0, technical support (trouble shooting), customer service, and program management for approximately 86 conference rooms and some VTC network hardware support at DHHQ.  OC will be included in the contract to keep a tock of ancillary equipment (bulbs, remotes, power supplies, etc) and to hot swap critical components.  Those requirements and acceptable downtimes will be better defined in the PWS.  There is a planned lifecycle refresh of the conference room equipment, within the next two years.  The successful contractor will need to support that effort by removing the existing hardware and replacing with newer (but very similar) configuration.  The successful contractor will also need to provide support, as required, during the time the Government is developing the new requirements, e.g., documentation, quantities, inventory, etc.

Level of Effort Anticipated (to be better defined in the PWS): Standard room facilitator/customer service 15,360 hrs/year; Elevated facilitator/Tech Support 5760 hours/year.

Current conference room hardware solutions fall into 1 of 3 categories.  Hardware is listed so contractors will know the equipment they will be managing, until such time as the solutions are upgraded.
