2. Scope of Work Insert detailed statement/scope of work and deliverables including reporting requirements. List the criteria that must be met and that will be used to score and evaluate the proposals. 1. Scope of Work for Adult Soccer League Directors The City has established team fees and will handle registration, players and teams. The City also helps to promote and market the leagues. League Directors are paid a portion of each team fee received. The Soccer League Director will be responsible for: Marketing the leagues and any tournaments Preparing the league schedule Maintaining a website to post league schedules and record and report game results Securing and scheduling qualified official to referee games (Teams pay officials fees in addition to team league fees) Game supervision, including performing participant, referee and spectator conflict resolution as required Communicating with participants and officials Complying with all applicable City and FIFA rules and regulations Supplying all necessary equipment for league operations, including line markers, score cards, soccer balls, and awards (City provides goals, cones & flags) Coordinating the use of fields for games with City staff members Opening, inspecting and securing facilities, including the set-up and take down of field equipment 2. Proposal Format Proposals must include the information requested below to be evaluated. 1. Letter of Transmittal a. Identify the submitting organization; b. Identify the name, title, telephone and fax numbers, and e-mail address of the person authorized by the organization to contractually obligate the organization; c. Identify the name, title, telephone and fax numbers, and e-mail address of the person authorized to negotiate the contract on behalf of the organization; d. Identify the names, titles, telephone and fax numbers, and e-mail addresses of persons to be contacted for clarification; e. Be signed by the person authorized to contractually obligate the organization; f. Acknowledge receipt of any and all amendments to this RFP. 2. Qualifications and Experience Provide a brief summary of your firm’s history, its capabilities, and its recent relevant experience (last five years). Also, describe your demonstrated experience with similar projects and qualification including professional licenses and certifications. 3. Conflict Management Briefly describe your experience handling difficult situations and conflicts. Provide brief descriptions of previous experiences as examples of how good judgment was used to handle scheduling and participation conflicts and how on-field conflicts have been resolved. 4. Stability/References List a minimum of three (3) references for whom comparable services were provided to in the last five (5) years. Include the name of the firm, name of the contact, telephone number of the contact, email address of contact (if available), brief description of the services provided and your firm’s role, and the start and completion date. 5. Marketing/Outreach Plan Describe your ability to promote Adult Soccer Leagues through different social media venues and other ways to increase participation by Santa Monica residents in the program. 6. Cost of Services, Cost Control Cost control, performance within budget allocations, prudent auditing practices, management and clear and constant communication with City staff are essential to the success of the Adult Soccer Leagues. Provide a brief description of previous project experiences as examples of how this was achieved with former clients, along with key examples of your accuracy in cost estimating.
