This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Statement of Work Organization: Arkansas National Guard Office Event: Two day retreat for reintegration of soldiers and their families Purpose of Event: Provide a two day weekend workshop away from the home station for returning soldiers and their families to provide useful information and guidance from various sponsors to reunite the soldiers with their families and to help get answers to frequently asked questions soldiers and family members have concerning redeployment from active duty to M-Day status. Date of Event: 7-8 February 2009 Proposed Location of Event: North Little Rock, Arkansas Lodging Required: Yes Number of Nights for Lodging: One Date of Lodging: 7 February 2009 Type of Lodging Required: Double Beds for overnight lodging must accommodate at a minimum two adults and one child. Projected Number of Lodging Rooms Needed for Event: 131 Meeting Rooms Needed: Yes Date Meeting Rooms to be Utilized: 7-8 February 2009 Number of Meeting Rooms: Ten meeting rooms (seven for breakout sessions and three for daycare facilities during retreat). Types of Meeting Rooms Required with Requirements: (a) One large meeting area for 40 service providers and 5 job fair employees (list of service providers attached). Date One Large Meeting Room Required: 7-8 Feb 2009 Time: 7 AM (0700 hrs) to 5 PM (1700 hrs) 7 Feb 2009 7 AM (0700 hrs) to 12 noon (1200 hrs) 8 Feb 2009 (1) Podium with microphone. (2) Audio visual screen for presentations. (3) Forty tables for table top displays 60 chairs for service provider attendants. (4) Coffee and Water to be provided by hotel. (5) No additional requirements will be needed since only table top displays and handouts will be given out during the group meeting. Date Ten Meeting Rooms Required: 7-8 Feb 2009 Time: 7 AM (0700 hrs) to 5 PM (1700 hrs) 7 Feb 2009 7 AM (0700 hrs) to 12 noon (1200 hrs) 8 Feb 2009 (b) Seven meeting rooms with classroom seating capacity (tables & chairs) with a minimum of 40 per room. (1) One head table for presenter/moderator in each room. (2) Classroom seating capacity (with tables & chairs) minimum of 40 per room. (c) Three meeting rooms with open space to accommodate daycare areas for children. (1) Cable ready television capable of supporting game system in each children's room. (2) Two tables and seating for daycare personnel, five chairs per room. (Note): cleanup of all meeting rooms is expected to be responsibility of contractor. Meals for Attendees: A total of four meals must be provided for attendees from lodging/hotel facilities.
