Overview of the Requirement The RFQ is the design phase of the annual City Calendar that is distributed to city residents and businesses. The Calendar is used to keep residents and businesses up to date on the City schedule for meetings and activities. It is mailed no later than the second week of December. 2. Request for Qualifications 2.1 Enquiries All enquiries related to this RFQ are to be directed, in writing, to the contact person at the mailing address on the front cover of this. Information obtained from any other source is not official and should not be relied upon. 2.2 Closing Date Complete hard copies and one electronic copy of each response must be received before 10 a.m. on September 4, 2020 at the address on the front cover of this RFQ. Responses must not be sent by facsimile. Responses and their envelopes should be clearly marked with the name and address of the respondent and the project or program title. 2.3 Late Responses Late responses will not be accepted. 2.4 Qualifications Review Committee The Administration of the City of Bridgeton will serve as the review committee. 2.5 Review and Selection “The qualifications review committee will check responses against the mandatory criteria. Responses not meeting all mandatory criteria will not be considered for review. Qualified respondents will be provided with a copy of the RFP if one is issued.” 3. Services SPECIFICATIONS SCOPE a) The contractor shall provide three (3) possible design themes selection by the City. b) The City shall provide information, material and photographs to be published. c) The contractor agrees to work with representatives from the City to develop the design and layout. TECHNICAL PROVISIONS a) Size: 8.5” x 11” b) Inks: Four Color Process Plus Overall Coating c) Paper: 100 lb. Matte Text Design Services Consultation, Design, Presentation, Art Direction of existing Photography and any new Photography, final electronic art, proof and printing supervision. Computer Typesetting Out of pocket expenses (includes supplies and messenger) Copywriting All new copywriting as required and any revisions as required by client, and proofreading of entire calendar. The City of Bridgeton to provide a final list as hard copy of calendar events for inclusion by month and/or as a master list for the calendar. Photography New photography of all Ward Members as a single group, groupings or as individuals. Estimate includes photo session and final files for the calendar. 4. Evaluation Criteria The criteria should include: A. Years of experience in the field B. Experience with the type of project specified in the RFQ C. Proven capacity to deliver the project requirements on time and on budget D. Sample written reports or other required materials for the position E. Awards 5. Submission Requirements Outline the submission requirements. Some examples of requirements include: A. A completed Respondent Information Form B. A statement of interest C. A resume outlining the respondent’s experience, the experience of key team members and a response to the qualification review criteria D. Three professional references 6. Conflict of Interest Please disclose conflicts of interest, in writing, to the review committee who will consider the nature of the respondent’s responsibilities and the degree of potential or apparent conflict in deciding the course of action that the respondent needs to take to remedy the conflict of interest.
