The primary objective is to host the conference at a single site that can provide lodging, meeting space, dining space, and children's activities.

Contractor must have availability from 10-11 February 17 (Arrival on Friday - Departure on Saturday). Dates are not flexible.

The Contractor will provide a facility that meets the following requirement:

a. Event Management: Contractor shall provide an on-site point of contact that will conduct all pre-event planning and on-site execution of the conference in tight coordination with the Government COR and other authorized Government officials.

b. Lodging: Contractor will provide lodging for approximately 40 attendees. Lodging rates must be within Federal Government per diem rate and in accordance with the Joint Travel Regulation. Hotel will need to be a 4 or higher rating. Military Family Support Branch (MFSB) will provide rooming list one month prior to event start date, all rooms not used will be turned in at no cost to the government.

- Friday, 10 Feb 17 - 20 Rooms (doubles)
- Saturday, 11 Feb 17 - No Rooms

c. Meeting Rooms: Rooms should allow uninterrupted conversation with little to no interference from noise in surrounding rooms.

- One General Session room on Saturday for 100 people (needs to be available 0600 - 1700 Saturday)
- 1 Additional breakout session for 40 people (needs to be available 0600-1700 Saturday)

- 3 additional Kids Rooms (for 10-20 per room) (needs to be available Friday 1300 - 1700, Saturday 0600 - 1700)

- Storage/Office Area (needs to be available Friday 1300 - 1700, Saturday 0600 - 1700; Sunday 0600 - 1730)

- Registration Area (needs to be available Saturday 0600 - 1700)

- 15 Vendor Tables outside General Session

d. Audio Visual: One Screen, One Projector, 2 wireless mics, Sound board in General Session

e. Food & Beverage: (must be within per diem rate) MFSB will provide final numbers one week prior to event start date, all meals not used will be turned in at no cost to the government.
- Saturday (Adults): AM Break (Muffins, fruit, coffee, tea and water); Lunch (Two meats, salad w/dressings, vegetable, bread, desert, tea and coffee); PM Break (cookies, popcorn, sodas, water, coffee)
- Saturday (Kids): AM Break (Muffins, fruit, coffee, lemonade and water); Lunch (Chicken Tenders, French Fries or Tater Tots, Macaroni and Cheese, Lemonade) PM Break (cookies (no peanut butter), popcorn, lemonade and water)

MFSB will provide correct meal counts 72 hours prior to the start date, all meals not used will not be charged to the government.


f. Facility must be in the Atlanta area.

g. Facility must have on-site parking capable of holding up to 80 GA ARNG attendee's vehicles at no cost to Guard or Families. All parking must be within a 15 minute walk of the Conference site.


Offers should be made in accordance with FAR 52-212-1(b)

(1) The solicitation number;

(2) The time specified in the solicitation for receipt of offers;

(3) The name, address, and telephone number of the offeror;

(4) A technical description of the items being offered in sufficient detail to evaluate compliance with the requirements in the solicitation. This may include product literature, or other documents, if necessary;

(5) Terms of any express warranty;

(6) Price and any discount terms;

(7) "Remit to" address, if different than mailing address;

(8) A completed copy of the representations and certifications at FAR 52.212-3 (see FAR 52.212-3(b) for those representations and certifications that the offeror shall complete electronically);

(9) Acknowledgment of Solicitation Amendments;

(10) Past performance information, when included as an evaluation factor, to include recent and relevant contracts for the same or similar items and other references (including contract numbers, points of contact with telephone numbers and other relevant information);
