Q&A as of 08 July 2025:
Q1: Do you have a target date or date range when the final award decision will be made?
A1: If FY25 funding is made available, this will be awarded by early September. In the event funding is not made available before the end of the FY, a letter of commitment will be issued to the apparant awardee in order to make reservations, and the award will be made in October with FY26 funding.
Q2. Q2: Will a tax exemption certificate be provided upon award? If yes, will A FL state tax exemption certificate be issued?
A2. Yes and yes.
Q3: As per the PWS Pg 4 #2, 50 rooms for a single-night stay to check out Jan. 18 and 50 rooms for a 2-night stay to check out Jan. 19, 2026. (Total: 100 room night requirement)
A3. It is a 100-room night requirement, 50 rooms each night. All guests will have a 1-night stay with a different group staying on the 2nd night.
Q4: Is there a preference in linen color for the general session and breakout out rooms?
A4: Black
Q5: Can the larger general session room be used as a breakout room or soon all rooms stand alone?
A5: The short answer is no. I want all rooms on the PWS. I have plans and uses for all rooms.
Q6: For clarity sake, are we supporting two different larger units or a combination of several units throughout the YRE?
A6: There are several units on this deployment. Overall, I am separating the event into two halves: a morning half and an afternoon half. I do not know if the audience for each half will be divided by units. I will leave that up to unit leadership.
Q7: Are there any known food allergies/restrictions we should be aware of as it pertains to this unit(s)?
A7: No. Just go with what is on the PWS.
Q8: Will the A/V technician be required to remain onsite during setup and teardown, or only during active event hours?
A8: See Q9 answer
Q9: Could you please clarify the expected availability window for the A/V technician during the event?
A9: I expect the A/V technician to be there at least one hour before the event starts to make sure everything is working properly. Delays due to A/V problems are unacceptable. They should remain throughout the day (not teardown) to fix problems as they arise and prevent problems.
Q10: Is it acceptable to utilize multiple hotels to fulfill the lodging requirements for this opportunity?
A10: Yes. I put that in the PWS. Under lodging requirements it says “Multiple lodging venues may be used to meet this requirement.”
Q11: Will a king with a pull-out sofa suffice as double beds?
A11: Yes
